National e-Invoice System (KSeF)

Important information regarding invoicing from February 1, 2026 (KSeF).

Due to changes in legal regulations, from 1 February 2026, Veolia Group entities in Poland, like all entrepreneurs in Poland, will be obliged to issue invoices via the nationwide National e-Invoice System (KSeF).

Below we explain what this change means for each group of our clients.

Are you an individual customer (an individual not running a business)?

Nothing changes for you!

You will continue to receive invoices from us as usual – in paper or electronic form (e.g. via e-BOK), depending on the option you choose. The change applies only to entrepreneurs.

Do you run a business or represent a company (are you a VAT payer)?

Get ready for change!

From February 1, 2026, you will receive all invoices from Veolia exclusively via the National e-Invoice System (KSeF). This obligation applies to sole proprietorships, civil partnerships, partnerships, and corporations, including housing cooperatives and communities, budgetary entities, and other organizations. 

What does this mean for you in practice?

  • New way of receiving invoices: You'll download invoices directly from KSeF. You can do this in several ways: through the free Ministry of Finance app, using an accounting program integrated with KSeF, or automatically via API.
  • Key to VAT deduction: Only an invoice received by KSeF will be the basis for VAT deduction. A document issued outside the system (with exceptions provided for in the Act) will not be considered an invoice within the meaning of the regulations.
  • On time payment: The obligation to pay the invoice on time remains unchanged, regardless of whether you download it from KSeF. Failure to prepare for receiving e-invoices does not release you from the obligation to pay.
  • Invoice visualizations and attachments will be made available under the same rules as before.

We encourage you to prepare your company and accounting systems for this change in advance.
